Training Guidelines

Please note that all trainings listed on this site are open only to NYS WIC staff.

Attendance and Cancellation

a. All NYS WIC trainings begin at 9:00AM and end at 4:30PM, unless noted otherwise.

b. Participants that arrive at training by 9:30AM (or 30 minutes after the official training start time) can make the decision to stay for the training and will receive a certificate of attendance. At 9:31 AM (or 31 minutes after the official training start time) the door will be closed and all late participants will be asked to reschedule.

c. Participants must attend all days of a multiple day training in order to receive a certificate of attendance and continuing education credits. If a participant is not able to fulfill this requirement they will need to re-register and re-take the program in its entirety.

d. Cancellations for training must be made a minimum of two business days (48 hours) before the program is scheduled to run.

e. Cancellations must be made on the NYS WIC TC website here

f. Training cancellations received less than two business days (48 hours) before the program is schedule to run will be considered no shows.

g.  Substitutions: You are able to send one staff in another’s place for a training if the original registrant is unavailable to attend. Please follow these steps to do so:
  • E-mail Kelley at kking@caiglobal.org or call 518-724-2801.      
  • If the training is at capacity Kelley will manually make the switch in the system for you, ensuring a spot remains open (you will not need to cancel online).
  • If the training is not at capacity and still open for registration on the website Kelley will advise you to cancel the trainee online here and have the new trainee register online here.
  • Please do not attempt to make switches through NEON yourself, all registrations and cancellations must remain within that person’s account; please do not change the name of the attendee under someone else’s account. It is important that your NEON account remains up to date with your training information and does not contain another trainee’s name.
  • If the request is made less than 2 business days before the training start date changes cannot be made and the replacement will need to sign in as a walk-in.
h. Trainers have the discretion to ask disruptive participants to leave training programs and not issue certificates.

i. In the event of a weather emergency, CAI will work with NYSDOH Central Office and Regional Offices in determining if training will occur. MARO trainings may be cancelled even if NYC schools remain open. CAI will inform registered participants via e-mail of a cancellation.

j. At the discretion of the CAI trainers, when inclement weather adversely affects participant transportation, public or private, attendees that arrive up to 60 minutes late will be eligible to receive a Certificate of Attendance. A working lunch may be necessary to compensate for the tardiness. This policy will apply to all regions of the state. 60 minutes after the training start time the door will be closed and all participants will be asked to reschedule. CAI will inform registered participants via e-mail of a cancellation.

Certificates

a. Trainees who have met the attendance requirement will receive a Certificate of Attendance at the end of the training program.

b. All trainees must complete the evaluation form and submit in order to receive a certificate of attendance.

c. Training participants are responsible for retaining their certificates for proof of attendance and should take care to place them in safe keeping.

d. CAI will e-mail duplicate copies of training certificates in the event the certificate is misplaced upon request.

Child Policy

a. As the NYS WIC Training Center, CAI continues to support breastfeeding as one of the primary goals of the WIC program. However, in order to maximize the training experience for all WIC staff, babies will not be permitted to attend trainings with their mothers. If you have questions or need a special consideration, please contact Kelley King at kking@caiglobal.org 

b. Trainees should contact the NYS WIC TC regarding lactation needs. The NYS WIC TC will make efforts to secure adequate lactation arrangements for mothers who are pumping breastmilk.

Confirmations

a. Online registrants will receive an e-mail confirmation that their registration has been accepted through NEON.

b. If you attempt to register for a program that is at capacity NEON will alert you and ask if you'd like to be placed on a waiting list. CAI will alert you via e-mail if a spot opens in the training.

c. An email confirmation will be sent 1 week prior to training to the two email addresses provided on the registration form (registrant and supervisor). This email will include a list of all registered participants and directions to the training location.

d. Please allow 3 business days for a response to a submitted training request form.

Continuing Education Credits

CAI provides the following continuing education:

·CPEUs(for RDs and DTRs)- CAI is an Accredited Provider of Continuing Education through the Commission on Dietetic Registration (CDR) and meets all standards and requirements of CDR. All hours are awarded for learning time only: 1 instructional hour = 1 CPEU.

· L-CERPS (for CLC and IBCLC)- CAI provides lactation credits approved through the International Board of Lactation Consultant Examiners and includes instruction specific to lactation.

· WIC Continuing Education Hours- CAI provides WIC Continuing Education Hours which have been approved through the NYS Department of Health, Bureau of Supplemental Foods

b. Training certificates will include all eligible continuing education for the program attended.

Registration

a. Online registration is the prefered method. You may access a printable registration form from the WICSIS Common Drive (in the WIC Training Center folder) and email to kking@caiglobal.org, fax to 518-724-2807, or mail to CAI 1 Winners Circle, Suite 230, Albany, NY 12205.

b. If a training program is not full, online registrations will be accepted up to two days before the training is scheduled to run.

c. If the minimum number of registrants for a program is not met 2 weeks before the training is scheduled to occur, the NYS WIC TC reserves the right to cancel the program.

Training Reports

a. WIC coordinators will receive biannual lists of trainings attended by their staff.

b. With the NEON registration system LA staff can go into their account to see what they've registered for and attended.

Webinars

a. For webinars, registrants must register through GoToWebinar to obtain call-in information and access to the webinar. GoToWebinar will send a confirmation e-mail to the registered participant with the link to join the webinar the day of. If a webinar is rescheduled or cancelled all regsitered participants will receive an e-mail from GoToWebinar, CAI will also e-mail coordinators to alert them of this.

b. Copies of slides and other materials will also be available on our website prior to the webinar.

c. On demand webinars will be categorized as "Self Study" Activities after the live version has been conducted. Continuing Professional Education Units (CPEUs) for RDs and DTRs will be granted based on the length of the original presentation. In addition, participants will be required to complete an evaluation and post test in order to receive CPEUs.

d. For archived webinars with L-Cerps, viewers must complete a post-test to qualify for credits.
